Job Description

We are seeking a highly organized and proactive Business Manager to oversee daily operations and ensure the smooth functioning of our church environment. The ideal candidate will possess strong communication skills, exceptional organizational abilities, and a knack for multitasking. This role requires a hands-on approach to managing office tasks, coordinating building use, and maintaining efficient systems. Must be able to work well with staff, contractors and a volunteer organization.

Job Type: Part-time, 24-28 hours/wk., flexible but required when church office is open

Duties

Manage Office Operations

  • Communicate effectively with team members, church members, volunteers and vendors to foster positive relationships
  • Ensure a welcoming environment for guests and members.
  • Train and supervise front desk volunteers
  • Manage walk-in traffic
  • Process benevolence applications
  • Manage internal communications, triage phones and email
  • Take sales calls and meet with vendors as needed
  • Open and close the building daily

 

Coordinate Building Use

  • Coordinate Building Maintenance and access with Trustees
  • Coordinate event staffing, setups, HVAC system, etc. for activities and (per guidelines) for weddings, funerals, special events
  • Communicate Safety Team or host needs
  • Oversee church and facility calendar management, scheduling appointments, and coordinating meetings for staff, members and other building users
  • Help develop/update and implement forms, policies, and procedures
  • Supervise custodial services and supplies

 

Finance

  • Distribute mail and donations
  • Process Invoices, code, and approval for Finance Department
  • Oversee Administrative Budgets for areas of responsibility, assist in budgeting processes and monitor expenses to ensure financial efficiency.

 

Manage Equipment and Supplies

  • Schedule vans and handle keys
  • Oversee copier maintenance, order supplies and copier reports
  • Order office supplies, literature and church consumables

 

Manage Church Data

  • Maintain accurate filing systems and documentation to support operations
  • Administer the Church Membership Database that includes Membership Records, Attendance, including paper records
  • Assist with annual reporting data collection requirements including Charge Conference and End of Year checkout
  • Maintain Contact records, local and conference, email and mail
  • Provide guidance and support to staff to enhance productivity.
  • Provide reports to the Trustees and Administrative Board as needed

 

Requirements

  • Proven experience in an office management role or similar position. (2 years preferred)
  • Facilities management (1 year preferred)
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Experience in budgeting and financial oversight is a plus.
  • Familiarity with front desk operations and customer service best practice.
  • Strong problem-solving skills with attention to detail.

 

Accountability

  • The Senior Pastor and Staff-Parish Relations Committee (SPRC) will supervise the work

Education

  • Associate (Preferred)
