Job Description: Music and Worship Administrative Assistant

Position Overview: The Music and Worship Administrative Assistant supports the music ministry by managing administrative tasks, organizing resources, and ensuring smooth operations for rehearsals, services, and special events. This position requires attention to detail, organizational skills, ability to perform some light physical work, and a collaborative spirit to assist the Director of Music and Worship Arts and other music staff.

Responsibilities:

Choral Library Management:

  • Maintain and organize the choral library weekly by filing music and processing new pieces.
  • Order music as directed by the Director of Music or music staff, primarily through JW Pepper.

Supplies and Materials:

  • Track supplies needed in the choir room and coordinate orders with the church’s supply coordinator.
  • Print bulletins and hymns for Wednesday Choral Union rehearsals.
  • Ensure the "stole of the day" is displayed on a hanger in the choir rehearsal room on Sunday mornings.

Attendance and Database Management:

  • Record attendance for all music activities in the church database (Arena), including:
    • Sunday morning Choral Union, Adoramus and Orchestra attendance.
    • Wednesday evening Choral Union and Handbell rehearsals.

Orchestra and Instrumental Coordination:

  •  Print and organize music folders for the worship orchestra. (Bi-monthly)
  •  Collaborate with staff to prepare Advent, Christmas Eve, and Easter instrumental music. (Seasonal)
  •  Work with contractors to send music electronically and create physical folders. (Seasonal)

Bell Choir Assistance:

  • Maintain and organize the Bell Choir music library.
  • Order music for the Bell Choir as directed.
  • Assist with Bell Choir setup when needed.

Facility and Scheduling:

  • Reserve rehearsal spaces through the church’s reservation system (Espace) per the music schedule.
  • Keep the choir rehearsal room organized and welcoming for all participants.

Score and Folder Maintenance:

  • Categorize, file, and maintain orchestral scores.

Collaboration and Meetings:

  • Meet monthly with the music directors for planning and updates.
  • Attend full staff meetings when scheduled.

Other duties as assigned by senior management

Schedule and Hours:

The position requires 25 hours per week, with the following schedule:

  • Tuesday: 9:00 AM – 4:00 PM (6.5 hours, including 1-hour lunch)
  • Wednesday: 12:00 PM – 8:30 PM (8.5 hours, including 1-hour dinner)
  • Thursday: 9:00 AM – 3:30 PM (6 hours, including 1-hour lunch)
  • Sunday: 8:30 AM – 12:30 PM (4 hours)
  • Occasional: Additional afternoon or evening hours as needed for special events or services.

Qualifications:

  • A servant’s heart and an understanding of the higher calling to serve God through music.
  • Strong organizational and administrative skills.
  • Proficiency in managing databases and scheduling tools.
  • Ability to work collaboratively and independently.
  • Attention to detail and a heart for serving in a church environment.
  • Familiarity with choral and instrumental music is a plus.
  • Ability to lift up to 25-40 pounds and perform other light physical work.
