Job Description

An accounting clerk is responsible for maintaining financial integrity and accurate record-keeping of the Church and the Lovers Lane United Methodist Church Foundation. Core duties include processing weekly offerings, managing accounts payable and receivable, running payroll, and maintaining strict confidentiality regarding member giving records. Some of these will be shared responsibilities that the accounting clerk would be cross-trained for, with one or more other personnel.  The accounting clerk will be responsible for supporting the daily accounting clerical work of Lovers Lane United Methodist Church and Lovers Lane Foundation.

Accounting Clerk Responsibilities Include:

Accounts Receivable & Contributions

  • Process and record weekly tithes, offerings, and donations (including cash, checks, and electronic/digital giving) for the Church and the Foundation.
  • Ensure the Sunday offering count complies with a standard "two-person rule" for security and internal controls.
  • Prepare and make bank deposits and distribute funds to designated ministry accounts and Foundation endowments, sub-accounts, and guardianships.
  • Manage and track payments for Church and Foundation events, facility rentals, mission trips, or campus programs.
  • Reconcile giving databases with accounting software and generate periodic (e.g., quarterly, annual) contribution statements for congregants. 

Accounts Payable & Disbursements for Church and the Foundation

  • Verify, code, and process vendor invoices, check requests, and staff expense reports in a timely manner.
  • Monitor organizational credit card accounts, ensuring all charges are itemized, approved, and correctly coded.
  • Prepare and execute payment runs (checks, ACH, or wire transfers), ensuring dual-signature approvals for large disbursements per church bylaws.
  • Track budget expenditures to help ministry leaders stay within their allocated funding limits.

Payroll Administration

  • Process bi-weekly or semi-monthly payroll for church staff, pastoral teams, and ministry workers.
  • Manage specialized payroll deductions, including housing allowances for clergy, pension/annuity plans, and health insurance.
  • Track and maintain time-off records (vacation, sick, and personal leave).
  • Process Church and Foundation 1099s for independent contractors and assist with year-end tax reporting (including 990 and Sales Tax returns).

Financial Reporting & Reconciliations for Church and the Foundation

  • Perform monthly reconciliations for all bank accounts, investment portfolios, and petty cash funds.
  • General ledger account tracking and maintenance, endowment and guardianship accounts and sub-account tracking and maintenance.
  • Assist church leadership and designated audit teams and tax accountants with documentation, receipts, and internal control review for audit and tax return preparation. 

Qualifications & Requirements

  • Education & Experience: High School Diploma or GED required. Bachelor’s or associate Degree in accounting, finance, or business, and/or 1-3 years of general bookkeeping or nonprofit accounting experience is preferred.
  • Technical Skills: Proficiency in standard accounting software (e.g., QuickBooks, Sage Intacct), Microsoft Office Suite (especially Excel), payroll processing systems and donor management system. 
  • Organizational Skills: High level of accuracy, speed with numerical data entry, and extreme attention to detail.
  • Ethical Standards: Unwavering commitment to confidentiality regarding sensitive payroll data, vendor contracts, and individual donor giving history.
  • Cultural Fit: Strong alignment with the church's mission, values, and vision, often requiring an understanding of church culture and church polity. 
  • Respond to church members and staff request for assistance in the Finance office.
