Job Title: Office Administrator

Reports To: Executive Director    

Hours: 30 Hours per Week (Monday-Thursday)

 

Summary 

Arborlawn United Methodist Church invites qualified candidates to apply for the position of Office Administrator, an on-site position responsible for overseeing and coordinating the daily administrative and operational functions of the church office. This position exercises professionalism, discretion, and independent judgment in supporting church leadership through calendar and systems management, operational coordination, event support, volunteer engagement, and church management systems administration. The Office Administrator serves as a primary point of connection for members, guests, staff, and community partners while helping ensure efficient and effective day-to-day church operations.

 

Essential Duties and Responsibilities 

The Office Administrator serves as a key operational support role for the church, exercising independent judgment and discretion in coordination administrative functions, managing office systems, and supporting ministry operations. Responsibilities include, but are not limited to:

 

  • Office and Administrative Operations

    • Oversee the daily administrative operations of the church office, ensuring efficient communication, organization, and workflow management 

    • Provide a warm, welcoming, and hospitable presence aligned with the church’s mission and values for members, guests, volunteers, and staff 

    • Develop, implement, and maintain office procedures and systems to support operational effectiveness and efficiency 

    • Manage church calendars, scheduling, meeting coordination, and administrative logistics for pastors and staff 

    • Coordinate office equipment, technology, supplies, mail distribution, and vendor relationships in partnership with internal staff and external providers 

    • Serve as the primary administrator for Planning Center and other church management systems, maintaining records, attendance reporting, membership data, and ministry-related information 

    • Manage facility use inquiries, scheduling, and related administrative processes 

    • Ensure compliance-related administrative requirements are maintained, including MinistrySafe coordination for staff and adult ministries

 

  • Operational and Ministry Support

    • Independently prioritize and manage multiple projects, deadlines, and operational needs with minimal supervision 

    • Support church leadership and ministry staff through coordination of meetings, travel arrangements, follow-up communication, and operational planning 

    • Prepare meeting agendas, summaries, reports, and related administrative documentation as needed 

    • Coordinate operational logistics related to campus access, security procedures, and event support 

    • Provide cross-functional administrative support to ministries and departments as needed to ensure smooth church operations

  • Events, Worship, and Hospitality Coordination

    • Coordinate administrative and logistical support for church events, worship services, meetings, and seasonal ministry activities 

    • Manage hospitality arrangements for meetings and events, including food ordering, beverage service, room setup, and volunteer coordination 

    • Coordinate worship and event preparation needs, including printed materials, floral scheduling, and volunteer scheduling support in collaboration with ministry staff and the Director of Communications 

    • Assist in planning and executing leadership events, staff gatherings, and seasonal church programming

 

Professional Qualities, Education, and Experience:

  • Bachelor’s degree in business administration, nonprofit management, communications, or a related field (preferred, but not always required)

  • 2–5 years of experience in operations, administration, or office management (preferably in a nonprofit or ministry setting)

  • Experience with event planning, volunteer coordination, or program support (preferred)

  • Experience handling budgets, vendor relations, and basic facility operations (a plus)

  • Strong organizational and multitasking abilities

  • Excellent written and verbal communication skills

  • Strong technology proficiency, with the ability to learn and navigate new systems and platforms efficiently 

  • Understanding of and commitment to the organization’s religious mission and  denominational values

  • Ability to work collaboratively with ministry staff, volunteers, and leadership teams

 

 

Hours

  • Regular schedule: On-site Monday-Thursday 8:45am - 4:15pm

  • PTO and holiday policies specified in the Employee Handbook

  • Attendance at evening meetings. Additional on-site hours may be required (Sundays/weekends/evenings), particularly around liturgical seasons of Lent/Easter and Advent/Christmas. Compensatory time off is allowed upon supervisory approval

The work environment is typical of an office setting. The employee must be able to perform the essential functions of the position, with or without reasonable accommodation, including:

  • Stand for extended periods 

  • Lift up to 15 pounds occasionally

  • See at close range, with or without vision correction

  • Communicate effectively and comprehend information

  • Navigate the campus, including stairs

 

Salary

$38,000-$45,000 annually, commensurate with experience; benefits outlined in the Arborlawn benefits guide
