Job Description

Job: Preschool Director of The Woods Treehouse Adventures

First and foremost:

  • Always maintain a Christian atmosphere
  • Stay in contact with The Preschool Advisory Committee (PAC), the SPRC, The Church Council and the Pastor regarding this ministry of The Woods UMC

Plan the upcoming year’s school-wide activities and schedules:

  • Set school year calendar with special activities dates
  • Set school year themes
  • Notify office manager of dates for all special activities and request needed heat or A/C
  • Obtain parent/church volunteers for any non-classroom assistance needed at the school
  • Obtain church volunteers to help with the first 3-4 days of school to assist in classrooms if needed
  • Plan school wide decorations for each month/theme
  • Coordinate chapel and KOC (Kids of Character) times

Oversee the registration process of students which begins in the spring and continues through the summer:

  • Set registration dates for coming year
  • Change dates on enrollment packet
  • Arrange advertisement for open enrollment, i.e. church sign, street signs, digital
  • Meet with perspective parents to show classrooms and discuss program
  • Check voicemail and return phone calls that have been left regarding enrollment
  • Update parent handbook with calendar (handout at Open House before school begins)
  • Update teacher handbook with new calendar/themes (handout at summer staff meeting)
  • Assign students to classes based on age/ability
  • Receive completed registration packets and check for correctness
  • Obtain volunteers from the PAC to assist at Open House with the acceptance of registration packets and/or needed documents
  • Discus any increase in registration fees and tuition fees with the PAC

Oversee all WTA staff and their training:

  • Interview and hire WTA staff as needed
  • Assign staff to positions as needed
  • Assist teachers in planning curriculum per DAP, if needed
  • Schedule CPR training for staff
  • Plan summer staff training by securing speakers or making presentations
  • Plan and lead in-service half-day for clarifying policies and procedures
  • Have staff meetings as necessary and begin days with prayer, but be respectful of teachers’ planning time in the mornings

Oversee the day-to-day operation of the school

  • Assume responsibility for seeing that supplies are ordered and reimbursements made when necessary
  • Arrive by 8 a.m. and stay until 3 p.m.
  • Make teachers aware of any changes in the daily schedule such as Chapel and KOC
  • For safety reasons, see that doors are unlocked, locked and unlocked again at the appropriate times
  • Greet parents and families as they arrive each morning and leave each afternoon
  • Be aware of doorbell if parents arrive at unusual times
  • Make regular visits to the classrooms to observe teachers and students
  • Provide teachers with the opportunity to have a quick restroom break without leaving their classrooms out of Ministry Safe compliance
  • Sub in Chapel for pastor if possible
  • Conduct KOC or find a volunteer to do so
  • Mediate any issues with or between staff then make notes regarding issues
  • Secure and oversee substitute teachers
  • Offer advice and assist teachers with any students who are difficulties in the classrooms
  • Communicate with parents as needed
  • Organize extra-curricular activities such as Halloween Game Day, Thanksgiving Celebration, Christmas Program, Spring Program, Graduation, Water Play Day (last day of school) and support for all classroom parties as needed
  • Stay in contact with and report to The Woods UMC by:
    • attending weekly staff meetings
    • attending quarterly church council meetings
    • communicate any necessary website changes to appropriate church staff o write articles for the church newsletter when requested

Maintain accurate monthly financial records for the preschool:

  • Accept registration payments, copy check or Money Order on packet request form, and notate on appropriate spreadsheet
  • Place tuition due signs and payment boxes on both upper and lower levels
  • Collect payments (check or Money Order) from boxes and review for accuracy and necessary information
  • Record payments on the monthly tuition log
  • Copy tuition log and all payments ... keep these copies
  • Place original log and payments in the drop-safe
  • Communicate with parents whose tuition is overdue
  • Complete Reimbursement Forms for all monies spent by you or teachers (must have a receipt)
  • Track teacher attendance for payroll and turn in payroll on due dates
  • Obtain monthly WTA reports from The Woods UMC Director of Finance Meet with the PAC each month to audit the previous months records
  • Submit yearly financial records to designated Audit Committee

Ideally, there will be a support person who helps with some of these duties. This should be determined by the director and the PAC.
