Job Description

Under the direct supervision of the Executive Director of Invite Resources, this position provides executive coordination, project management, bookkeeping, communication and other support as needed for a small ministry start up.


  • Create and maintain relationships with St. Andrew ministry staff, Invite authors and Invite customers
  • Project Management
    • Oversee small and large organizational projects / initiatives
    • Research, analyze data and make recommendations
    • Create systems and processes to streamline operations
    • Daily oversight of current projects and tasks
    • Assistance with execution of project tasks, as appropriate
  • Bookkeeping in QuickBooks
    • General ledger entry for income and expenses
    • Daily batch reconciliation with sales channels and credit card processing
    • Accounts payable, as needed
    • Monthly P&L reports
  • Strategic Planning
    • Team calendar management
    • Internal and External Communication
  • Direct administrative support for Executive Director
    • Help identify focus areas
    • Calendar Management
    • Document Management
      • Assist with monthly expense reporting
  • Team management support
  • Event support for Invite author book launches
    • Content Creation
    • Registration and room reservations
    • Ordering, tracking and sorting supplies
    • Creating and printing sign in sheets, nametags, etc.

Supervisory Responsibility: This position has no supervisory responsibilities.

Position Type and Expected Hours of Work: This is largely a sedentary role; however, some lifting and moving of books is required. The events will require more walking and lifting than typical office requirements.

This position’s regular work days/hours are Monday through Thursday, 8:30 a.m. to 5 p.m., and Friday’s or Sunday’s 8:30 a.m. to 1 p.m.  Occasional evening and weekend work will be expected of this position.

Education and Experience


  • Associate’s degree
  • 3+ years of administrative experience


  • Bachelor’s degree
  • 5+ years of executive assistant or related experience
