Job Description

Reporting: This position reports directly to the Pastor and is accountable to the Staff-Parish Relations Committee

General Duties

  • Database Management

  • Calendar Management

  • Building Access Management

  • Supplies Management

  • Pastoral Assistant

  • Sending meeting requests or general emails

  • Submitting details for communications

  • Coordinating meetings/meals

  • Other tasks as assigned

Specific Duties

  • Input and track membership information in the Church Management System and report to appropriate staff members as needed (first-time guest, attendance out of normal pattern, interested in more ministry information, etc.)

  • Assist with Conference reporting for Charge Conference, Check-Out and others

  • Greet visitors to the church office from 9 a.m. to noon, M-TH

  • Maintain the church calendar and program facility door locks accordingly

  • Maintain and distribute prayer lists and first-time visitor information

  • Respond to routine email and telephone inquiries

  • Route phone call and email inquiries to correct resources

  • Serve as point of contact for facility use and manage requests and scheduling of rooms

  • Serve as point of contact for service calls when a Trustee is unavailable

  • Order background checks for volunteers and track MinistrySafe training

  • Monitor usage of church copier

  • Maintain office, kitchen & janitorial supply levels

  • Take and maintain notes for debriefing of all churchwide events

  • Assist pastor with Lay Leadership Development Team by organizing meetings, preparing materials and taking notes

  • Schedule ushers and communion servers weekly

  • Coordinate special meetings for the Pastor throughout the year, as needed

  • Coordinate the Discovering Prosper UMC luncheons quarterly

  • Provide the Pastor with follow-up reminders as needed

  • Take initiative for new and special projects, as requested by the Pastor

  • Coordinate community events as directed

Qualifications

  • Evidence of Christian faith and Christian character

  • Excellent verbal/written communication skills;

  • Strong interpersonal skills and dedication to working as a team;

  • Proficient in MS Office Suite;

  • Excellent organizational skills, attentive to details and committed to following through;

  • Will take initiative to complete tasks with minimal supervision;

  • Strong commitment to cooperation and hospitality;

  • Strong commitment to discretion and confidentiality;

  • Capable of maintaining focus, patience and peace in a busy environment

  • Ability to handle conflict with grace

  • Demonstrates learning agility while being coachable and open to grow
