Job Description

Daily Duties

  • Database Management
  • Calendar Management

  • Facilities Maintenance
  • Office and Custodial Supplies Management
  • Sending meeting requests or general emails
  • Submitting details for communications
  • Coordinating meetings/meals
  • Pastoral Assistance
  • Other tasks as assigned

Specific Duties

  • Input and track membership information in the Church Management System and report to appropriate staff members as needed (first-time guest, attendance out of normal pattern, interested in more ministry information, etc.) and coordinate appropriate volunteers for this system
  • Assist with Conference reporting for Charge Conference, Check-Out and others
  • Input and organize new member information, including sending out transfer letters as needed
  • Coordinate the Discovering Prosper UMC luncheons quarterly
  • Maintain the church calendar and program facility door locks and access accordingly
  • Maintain and distribute prayer lists
  • Respond to routine email and telephone inquiries
  • Route phone call and email inquiries to correct resources
  • Serve as point of contact for facility use and manage requests and scheduling of rooms
  • In coordination with the Board of Trustees, maintain facilities and attend to campus projects (including meeting contractors when a Trustee is unavailable)
  • Order background checks for volunteers and track MinistrySafe training
  • Monitor usage of church copier
  • Assess and maintain office, kitchen & janitorial supply levels
  • Take and maintain notes for debriefing of all church-wide events
  • Coordinate volunteers for church office hours
  • Take initiative for new and special projects, as requested by the Pastor

Qualifications

  • Evidence of Christian faith and Christian character
  • Excellent verbal/written communication skills
  • Strong interpersonal skills and dedication to working as a team
  • Proficient in MS Office Suite
  • Excellent organizational skills, with attention to details and the big picture, and committed to following through
  • Skilled at multi-tasking; ability to create and oversee multiple projects at once
  • Will take initiative to complete tasks with minimal supervision
  • Strong commitment to cooperation and hospitality
  • Strong commitment to discretion and confidentiality
  • Capable of maintaining focus, patience and peace in a busy environment
  • Ability to handle conflict with grace
  • Demonstrates learning agility while being coachable and open to growing
  • Availability on Sunday mornings
  • Ideally can lift a minimum of 40 pounds and have complete mobility in building and grounds activities as necessary

Reporting: This position reports directly to the Pastor, in cooperation with the Board of Trustees and is accountable to the Staff-Parish Relations Team
