Job Description

The role of the Administrative Assistant is to assist the Pastor in the ministry of the church. The administrative assistant is responsible for managing the church office, interfacing with members/guests/outside vendors, assisting paid and voluntary staff, managing the calendar and ordering supplies. 

This is a non-exempt part-time position (12 hours per week, 10 a.m. to 1 p.m. Tuesday to Friday).


  • Answer the phone in a courteous and professional manner. Take messages accurately. Greet members and visitors to the Church office in a courteous and attentive manner.
  • Retrieve and forward messages from the answering machine daily.
  • Assist the Pastor in projects as needed.
  • Maintain the church calendars (NUMC website and facilities use calendars), scheduling and posting events and meetings at the direction of the Pastor and committee chairs.
  • Open and distribute mail to appropriate mailboxes.
  • Type and file correspondence and records as needed.
  • Print, fold and add inserts for Sunday bulletin. Prepare order of service programs for funerals/memorial services as required.
  • Prepare slides for Sunday worship service each week.
  • Create flyers, insert, and forms as needed.
  • Print forms (nursery sign-in/sign-out sheets, visitor cards, prayer card, usher count sheets, etc.) as requested.
  • Order office supplies and other supplies following the purchasing guidelines established by the Finance Committee.
  • Assist with the completion of Charge Conference and Local Church Report forms at the direction of the Pastor.
  • Receive donations and distribute food and clothing to weekday walk-ins under guidelines provided by the food pantry/clothes closet ministries.
  • Serve as liaison to other community service organizations.  Refer appropriate needs and inquiries to these organizations as needed.
  • Meet with Pastor, Board of Trustees (or Trustee’s Chair), and S/PPR Committee upon request.  Make reports to Church Council as requested.
  • Update electronic sign in parking lot as needed, monitor working condition and report problems to Trustees.
  • Other duties as assigned.


  • Administrative experience and/or prior experience supporting senior staff.
  • Fluent in English, both in written and spoken form.
  • Working knowledge of Microsoft Office, (including PowerPoint), social media, and ability to learn other office software packages.
  • Highly organized, strong attention to detail, and self-motivating.  Able to work independently and prioritize projects.
  • Proficiency in clerical skills. Experience with a range of office equipment, and strong writing/editing skills.
  • Ability to manage multiple tasks and projects simultaneously.  
  • Strong interpersonal skills.
  • Able to maintain confidentiality and practice discretion in all communications.
  • At least 18 years of age.
  • Satisfactory completion of background check and Ministry Safe training.
