Job Description

The East District Administrative assistant must possess top notch interpersonal and communications skills, track, organize, and manage a number of projects simultaneously, possess creative problem-solving skills, and a strong working knowledge of a wide variety of computer software and research tools. This position will report to and manage the needs of the office of the District Superintendent (DS) and make recommendations regarding improvements to the way the District Office functions. 

The East District Administrative Assistant is responsible for providing outstanding support to the DS, allowing the DS to focus on strategic initiatives and planning; collaborate with other districts, local churches, and conference entities; communicate well with others across a wide range of backgrounds and perspectives; offer assistance, ideas, and recommendations for a higher level of functioning; knowledge of the mission, vision, values and structure of the North Texas Conference and The United Methodist Church; demonstrates exceptional hospitality including highly effective interpersonal skills; ability to make independent decisions and work autonomously; ability to prioritize assignments; use discretion and confidentiality in all facets of the job. 

Work Hours and Location:  Hybrid – District Office, Sulphur Springs with 2 days of remote work. Monday – Thursday: 8:30 am-5 pm, Friday: 8:30 am – noon. Some evenings and weekends will be required depending upon scheduled meetings and deadlines.  


  • Provide support to the DS to ensure all administrative tasks are achieved on time or ahead of schedule, in a professional, exceptionally hospitable and quality focused manner. Organize and expedite flow of work. Manage the DS calendar for meetings and events. 

  • Serve as the initial contact for the DS and handle/distribute calls, faxes, and mail. Review DS emails regularly and bring to his/her attention those that need immediate attention.  

  • Order and maintain supplies, and equipment maintenance. Oversee bids on equipment leases. 

  • Organize and maintain highly confidential information, filing system and files, and responsible for time sensitive material. Maintain all clergy personnel, supervisory, and church files. 

  • Prepare correspondence, reports, and presentations. Provides editorial revisions to enhance written communications. 

  •  Responsible for information sent to Webmaster for the District website and maintain District social media platforms. 

  • Research, analyze, and compile data and figures for presentations and proposals including financial statements. 

  • Track office and DS credit card expenses; in charge of monthly reporting to appropriate staff. 

  • Represent and interact with laity, clergy, churches, and other conference teams and committees on behalf of DS.  

  • Participate on committees and task forces as assigned by the DS. 

  • Prepare and oversee District Office budget including data entry for bill payment in Shelby Next and processing payroll timesheets in Paychex. Initiate follow-ups with churches that are past due on their health, and pension benefit payments. 

  • Maintain calendars, scheduling, meeting arrangements for conferences, and travel arrangements for DS. Prepare agendas and reserve facilities for District events and meetings.  

  • Assist in the coordination of Conference events, training, and gatherings for the district. Support local churches with all Conference initiatives. 

  • Process ministry candidate files for DCOM; includes process and confidentially maintain credit reports and psychological evaluations. 

  • Handle special projects for the DS and perform other duties related or non-related as needed to meet the changing needs of the East District or as deemed necessary by the DS. 



  • High School diploma or equivalent; Bachelor’s Degree is preferred. 

  • 5 years related administrative experience and prior experience supporting an executive level individual required.  

  • Professional demeanor, strong verbal, professional written communication, and interpersonal skills. 

  • Extensive Microsoft Windows, Microsoft Office, and Internet applications experience, including creating spreadsheets, and executive level presentations, report writing, and business correspondence. 

  • Ability to work independently, manage multiple priorities and projects simultaneously and initiate follow-ups. 

  • Ability to handle sensitive information with the highest degree of confidentiality required. 

  • Fluent in English; Spanish speaking, a plus. 

  • A deep commitment to one’s personal Christian faith and integrity.
