Job Description

Schedule: Monday – Friday, 9 a.m. - 5 p.m. (12 p.m. on Fridays)

Executive Assistant to the Senior Pastor

  • Maintain Senior Pastor’s calendar
  • Draft correspondence and assist with mailings to congregation, committees members, bereaved
  • Field phone calls and ensure follow-up communication
  • Plan meetings, track RSVPs, and prepare materials for Lovers Lane Executive committees as needed
  • Monitor emails for time sensitive information
  • Exercise strict confidentiality in communications
  • Prepare agendas, meeting notes and maintain files as directed
  • File sermons by date, title and scripture reference
  • Prepare annual archive of sermon transcripts
  • Assist congregational care team as needed for Senior Pastor funeral or visitation coordination

Membership Secretary and Database Administrator

  • Maintain accurate records in F1 data for reporting and mailing  (member of F1 Champion team)
  • Ensure accurate entry of new member information into F1 database
  • Research returned mail in effort to obtain correct addresses and other pertinent information
  • Track and report Membership changes on Weekly Membership Report to Pastors
  • Enter Demographic and Life & Membership event “Attributes” such as dates of Baptism, Births, Deaths, Marriages, Family Events, Funerals etc.
  • Assist Executive Pastor with gathering and reporting membership, leadership and program information for Annual Reporting to the District (Annual Charge Conference) and North Texas Conference (Annual Checkout Statistics in January and Annual Conference in June)
  • Serve as secretary of Leadership Board meetings and Annual Charge Conference, filing minutes and submitting to Archives.

Backup to the ADP Administrator for Payroll and Human Resources Activities

  • Process ADP Payroll bi-monthly with Finance Director, and take periodic continuing education training classes to keep in practice for future emergency or vacation coverage
  • Serve as a resource for assisting staff in accessing their records, updating attendance and the recording of time and attendance

General Office Management Team Member

  • Maintain church business files as assigned relating to meetings involving the pastors
  • Field telephone calls as needed
  • Ensure staff events and pastor called meetings are entered in ServiceU
  • Assign and update mailboxes
  • Monitor printer and break room supplies and order as needed; ensure printers have paper for weekend staff needs
  • Assist with decorations, setups, etc. for all-church events, staff meetings, etc. as needed
  • Serve as a team player – assist where and when needed
